# The pupil portal

> How pupils sign in with their admission number and PIN, what they can see, and how to issue or reset a PIN.

The portal is a separate, read-only view for pupils. It runs on a phone browser with no app to install.

  This is the **pupil's** portal, not a parent portal. Guardians have no accounts and cannot sign in. A parent who wants to see a balance either uses their child's sign-in or asks the office.

## How a pupil signs in

Three things: the school code, their **admission number**, and their **PIN**.

The PIN is between 4 and 8 digits. Longer is better for older pupils; four is usually right for primary.

## What a pupil can see

The portal shows; it does not change anything. A pupil cannot edit a record, enter a mark, or make a payment through it.

  There is no online payment. The portal tells a family what is owed; the money is still paid at the school, by MoMo transfer, or into the bank, and recorded by a member of staff. See [Recording a payment](/docs/payments/recording-a-payment).

## Issuing and resetting PINs

PINs are issued and reset by school staff from the pupil's record. Staff cannot read an existing PIN — only replace it. If a pupil has forgotten theirs, issue a new one.

<Tip>
  Issue PINs to a class in one sitting at the start of the year, and write them into the pupils' exercise books. Reissuing them one at a time through the term is a steady drain on the office.

## Locked out

After ten failed sign-in attempts, that pupil's sign-in is blocked for **15 minutes**. This protects admission numbers from being guessed at.

A pupil who is genuinely locked out should wait rather than keep trying — further attempts during the block do not help. If they have forgotten the PIN, staff can issue a new one immediately.
